What grants accept and what they reject

Prefers measurable indicators

Handling time per case, error rate, process cost before and after. That is why a week of pre-implementation measurement is also part of the application.

Prefers integration with existing infrastructure

Connecting to ERP, warehouse management, or CRM is an eligible, demonstrable cost. In our implementations, this starts at 2,000 PLN per integration, the largest item alongside hardware.

Prefers team training

AI literacy training is both an obligation under Article 4 of the AI Act and an eligible cost covered by many grant calls.

Dislikes subscriptions as the only cost

A tool subscription without implementation, integration, and metrics is rarely an eligible cost and rarely passes substantive evaluation.

Dislikes "AI" without a process

An application that includes technology without a clear process, baseline metrics, and a designated owner returns from evaluation with formal objections.

Dislikes projects ending on delivery day

Project durability usually covers three years. Who maintains the system and with what budget must be specified before submission.

Pitfalls

Application deadlines drive the schedule

A grant-funded implementation begins not when the company is ready, but when the call is open and the agreement is signed. Several months usually pass between submission and the decision.

Own contribution is real

With 70% funding, the company covers 30% and pays upfront, as most programs settle via reimbursement or capped advances.

Vendor lock-in

An application where all value relies on a single vendor's licence is risky for the business and scores poorly. Prompts, configuration, and data should remain company property, with the flexibility to switch models.

Double funding

The same expense cannot be covered by two separate programs. Training from the Development Services Database (BUR) and PARP implementations must be separated during the planning stage.

Frequently asked questions

Will a grant cover a ChatGPT or Claude subscription?

Usually not as a standalone cost. Programs fund implementation: integration, configuration, hardware, training, and measurable KPIs. A software subscription alone without implementation rarely passes technical evaluation.

Does HEXART write grant applications?

No. We prepare the technical and operational documentation: process metrics, implementation scope, benchmarked budget, schedule, training plan, and hardware specifications. The application itself is managed by a grant consultancy, yours or one we recommend.

Is an on-premise AI server an eligible cost?

In many calls, hardware is an eligible cost, but specific call rules govern eligibility. The advantage of including a server in the application is long-term ownership; after purchase, running costs drop to electricity, roughly 130 PLN monthly based on our deployment.

How long does it take from application to a live deployment?

Call evaluation, assessment, and contracting usually take several months, depending on the program. Implementation after signing takes 4–8 weeks from workshop to production. Process mapping and baseline measurement must happen before applying, as KPIs are required upfront.
