Figures from our implementations

How much AI implementation costs in a company

Figures from implementations we calculated and documented. Each entry links to a breakdown: what made up the cost, how long deployment took, and when the process does not add up.

  • Items with breakdown: 10
  • Breakeven thresholds: 4

This is not a price list or an offer. The figures represent the baseline for the specific case described. Different scales yield different numbers. Where we lack our own calculation, we do not provide a figure, and the item is omitted here.

  • Fewer than 700–900 document pages per monthan in-house server does not pay off faster than an external API. At 200–300 pages, an API is often cheaper and simpler.Local AI model reads contracts

What actually drives the cost

In the implementations we calculated, licenses are the smallest line item. The largest is configuration and integration with existing tools: warehouse software, HR and payroll, email, CRM.

Added to this are data migration, field mapping, and training key staff. That is why an estimate without an integration list is incomplete. Request this list from every vendor, including us.

Second conclusion: for data that cannot leave the company, a one-time hardware purchase replaces the subscription. The hardware remains company property, with electricity as the only ongoing cost. When this pays off and when it does not, we detail in local AI server.

  • Integrationspriced separately, usually the largest line item

Questions and answers

Frequently asked questions

How much does an AI implementation cost?

Depends on the scope. Invoice processing for a 40-person company starts from 679 PLN net monthly after deployment. A local AI server for email summaries starts from 18,500 PLN gross for hardware.

The largest line item is usually not software licenses, but integrations with existing systems. We price each separately, depending on the target system.

We prepare a quote for your company during the workshop.

How quickly does AI implementation pay off?

Invoice workflow for a 40-person company breaks even within 5–9 months. Savings reach 4,000–6,000 PLN monthly in reduced accountant and approver hours.

On-premise hardware deployments follow a different calculation. The server remains company property, leaving electricity as the only ongoing cost: around 130 PLN monthly.

How long does implementation take?

From workshop to production release typically takes 4–8 weeks. Invoice workflow takes 15–20 business days, a local document-reading model takes 4–7 weeks, and a sandbox environment deploys from one business day.

We deploy complex agentic systems in stages so that each phase delivers measurable ROI.

When is an AI implementation not worth it?

Under 200 invoices per month, the savings will not cover the subscription. Below 700–900 document pages per month, an external API is often cheaper than a dedicated server. Cloud provider migration rarely pays off below a PLN 1,500 monthly subscription.

The most frequent obstacle is the lack of a single process owner on the company side. When this happens, implementation extends from 15 to 40 days.

Where do these figures come from?

From our implementations and materials published on this website. Each item links to the full calculation. We do not provide a figure without a published calculation. Figures apply to the specific case described and do not constitute an offer. We prepare an estimate after discussing your process.

Calculate it for your process

The figures on this page filter out ideas that will definitely not pay off. The exact figure for your company depends on document volume, systems to integrate, and the person leading the process. The plan generator turns this into reference points, and the first call serves to price it.
